Reporting to: Managing Director, Corporate Affairs and EA to CEO
Objective of the role:
- To support the Managing Director, Corporate Affairs and Company Secretary to successfully execute the company’s strategy and objectives
- To provide administrative support for the Corporate Affairs team, Board-level Committees (Finance and Audit and Remunerations and Nominations Committees) and support the EA to the CEO in delivering Board and Leadership Council meetings
- Be a proactive member of the wider administrative team
Key Activities & Responsibilities
PA Duties
- sure quality through development, implementation and improvement of company processes and procedures
- Ensure the MD is fully briefed, supported and prepared for meetings and other relevant activities
- Proactively support the MD with their workload and ensure they meet all necessary deadlines
- Support the MD to prepare for meetings, ensuring relevant briefings and papers are gathered in advance
- Assist the Corporate Affairs team (including the Membership Insight team lead, Corporate Communications and HR teams) with administrative duties as required and agreed, including support in delivering the strategy and key priorities and providing team support as and when required
- Provide Company Secretary administrative support to ensure our governance requirements are met, including providing logistical support and administration of the AGM and related materials
- Arrange and provide administrative support to help ensure the effective execution of the Board-level Finance and Audit, and Remuneration and Nomination Committees – the former will also involve working with the Financial Controller
- Support the wider administrative team, assisting with organising events, including staff away days, Board events, Committee events, training programmes, lunch & learns, PA cover for other MDs and the CEO as required, and the annual EA event
- Support the EA to the CEO in delivering the Board and Leadership Council meetings
- Arrange senior stakeholder meetings, preparing agendas, sourcing venues as required etc.
- Work with the teams across the organisation to obtain briefings and papers for the MD and CEO as requested by the EA to the CEO
- Support the MD and team in running/managing the secretariat and recruitment for the Next Generation Leadership Council and any other groups within the MD’s remit as required
- Dealing with expenses for the MD
- Act as a gatekeeper with responsibility for managing the MD’s diary
- Diary and inbox management with travel as required
- Handle correspondence with members and other stakeholders as required
- Answering incoming calls
- Deal with senior external stakeholders with diplomacy and professionalism
- Maintain discretion and confidentiality, at all times
- Meet and greet guests and serve refreshments as required
- Provide general office and administration support, including holiday cover
Other Duties
Company Strategy
- Assisting the MD in ensuring processes and procedures are in place to enable the successful execution of our strategic priorities
- Assisting the MD with the development of the business plan
- Assisting the MD in ensuring robust process and governance are in place in support of delivering the company’s business objectives including Finance & Audit Committee and Remuneration & Nominations Committee
- Preparing Board appointment letters, ensuring new Board members are registered at Companies House through the Financial Controller and providing general administrative support to ensure maintenance of our governance requirements
- Assisting the MD with specific projects and ongoing activities to ensure effective delivery of organisational and team priorities
- Supporting the management and effective delivery of the Next Generation Leadership Council, chaired by TheCityUK’s Leadership Council Chairman, including organising / coordinating meetings and ongoing activities and events, preparing agendas, annotated agendas, emails, recording responses on CRM and attending them to set up
- Working in collaboration with all teams to develop and identify processes/quality procedures, reporting areas of concern
- Proof reading reports as directed or requested, to ensure the appropriate processes and procedures are in place
- Organising meetings with stakeholders as required
- Arranging meetings with member organisations as required to service the membership
- Supporting the wider teams as required by the MD to ensure effective delivery of activity and strong outcomes.
CRM/Contact Management
- Working with the wider CRM team and Financial Controller to further enhance the CRM contact database/system user capability procedures
Relationship Management
- Assisting the MD to develop and manage relationships with key stakeholders including other Executive Committee colleagues, senior members, Comms Network and others across the industry etc.
- Representing the company externally, with professionalism at all time, as required
General
- Undertaking any other duties which may reasonably be requested and are commensurate with the post
- Support other PAs on a day-to-day basis, and provide cover in their absence as required
- Demonstrate commitment to continuous professional development and undertake training as required

Person Specification
- Highly organised, self-starter, familiar with quality and documents control
- Good analytical report writing and minute taking skills
- Excellent Microsoft office skills (Word, PowerPoint, Excel)
- Experience with working on CRM systems
- Ability to prioritise and maintain a calm demeanour
- Good influencing and communication skills (written and verbal)
- A ‘can-do’ attitude with the ability to use initiative
- Trustworthy, diligent and confidential
- Financial and / or professional services experience (desirable)
- Ability to deal effectively with all levels of personnel and the confidence to deal with senior stakeholders (internal and external)
- Experience in dealing with high level of administration / coordination
- Highly organised and with the ability to prioritise and refer upwards as required
- Takes ownership and responsibility for tasks
- Ability to manage highly confidential information appropriately, can work with discretion
- Accurate written skills with high attention to detail
- Confident in making decisions on behalf of others when necessary
- Higher education such as A Levels and/or relevant experience
- Must have the right to work in the UK
