Events Assistant

Reporting to (job title): Events Manager

Objective of role: To support the Events Manager, Events Executive and Executive Producer, Events in the delivery of a strategically aligned, first-class events programme for TheCityUK

Key Activities & Responsibilities

Working with the Events Manager, Events Executive and Executive Producer, Events to coordinate and assist in events across TheCityUK and maintain the working relationships with TheCityUK membership.

  • Working with the Events Manager and Events Executive to coordinate events across TheCityUK and maintain the working relationships with TheCityUK membership through the delivery of events including roundtable discussions (breakfasts, lunches, and dinners), launch events, webinars and virtual roundtables, conferences, dinners, and receptions.
  • Lead on a number of roundtables at different seniority levels, both virtually and face to face, from planning to on-the-day delivery and provide logistical arrangements with both member hosts and/or external venues to ensure events run smoothly (some flexibility in hours will be required)
  • Create and circulate invitations for roundtable events, using the CRM system, automated in-house system (Force24) and Outlook
  • Events administration in the lead up to events, including production of event collateral – name badges, agendas etc., circulation of papers and joining instructions to internal and external contacts, managing enquiries about the event.
  • Point of contact for event participants and responding to roundtable events related queries as required for both internal and external stakeholders.
  • Assist with managing TheCityUK events app with accurate information on larger events – updating the app as appropriate for each event and ensuring it is accurate and accessible on the day.
  • Assist with TheCityUK’s flagship events: Annual Dinner, International Conference, Annual Conference, Future Leaders’ Dinner, National Conference. Taking on a key role for each event, including registration and attendee communication, venue and catering, AV/Production company liaison, conference app, and sponsors and exhibitors.
  • Staff the flagship events, including additional time (often outside of office hours) for set up.
  • Help maintain TheCityUK’s CRM system of member and non-member delegates for events, with a pro-active approach to ensure accuracy and attention to detail in all areas.
  • Assist the Events Executive with management of external suppliers, sourcing new contacts and obtaining competitive quotes, including venues for flagship events.
  • Any other ad-hoc duties that may be required.

Key Relationships & Interfaces

  • This is a hands-on member facing role. The ideal candidate will be confident working directly with senior stakeholders within TheCityUK including the Board, Leadership Council, CEO office and Executive Committee, and other members as well as external suppliers.
  • Colleagues from across the organisation, in particular the Membership Insight Team, Public Affairs and International Teams.

Person Specification

  • Higher education such as A Levels and/or relevant experience
  • Ability to work effectively in a fast-paced team environment
  • Events or administrative experience within a professional environment
  • Able to effectively prioritise workload and multitask various projects simultaneously
  • Ability to quickly establish effective relationships with colleagues and senior individuals across a range of organisations
  • Adaptability and reliability with a strong ‘can do’ attitude
  • Excellent written and oral communication skills
  • High attention to detail
  • Willingness to travel within the UK and work extended hours (including evenings) when required
  • Flexible approach to tasks and responsibilities
  • Enjoys a challenge
  • Calm demeanour with ability to work under pressure
  • Familiarity with Microsoft Office (Word, Excel, Outlook)
  • Familiarity with CRM systems
