Reporting to (job title): Managing Director, International Trade and Investment and Managing Director, Corporate Communications
Objective of role: The PA’s key objectives are to:

  • Maximise business opportunities for our members by supporting the Managing Director, External Relations & Strategic Issues, working with the appropriate levels of business and government and the Managing Director of Corporate Communications to ensure smooth and effective communication outcomes.
  • Assist the International trade and investment team and Corporate Communications and HR and MIT teams as required in delivering the strategy and key priorities.

Key Activities & Responsibilities

The PA will:

  • Act as a first point of contact for the Managing Directors and either deal with or highlight any issues that arise that could impact on the MD’s time and activities.
  • Assist with the setting-up of new projects and workstreams, organising meetings of steering groups, interview schedules and liaising with member firms.
  • Field enquiries.
  • Maintain discretion and confidentiality at all times.
  • Handle correspondence.
  • Provide general office and administrative support.
  • Answer incoming calls.
  • Meet and greet guests and serve refreshments as required.
  • Act as gatekeeper with responsibility for managing the Managing Director’s diaries, ensuring effective time management.
  • Submit expenses on behalf of the Managing Directors.
  • File documentation.
  • Organise events where applicable.
  • Arrange travel and accommodation for the Managing Directors.
  • Take minutes at committee level when required.
  • Provide support for ongoing activities being taken forward by the Managing Directors.
  • Support other team members as required.


  • Support other PAs on a day-to-day basis, and back up in their absence as required.
  • Provide cover for other administrative staff as required.
  • With other staff in TheCityUK, support the development of the organisation and enhance its reputation through attending seminars and conferences as required, assisting in setting up presentations and being on stands at exhibitions.
  • Forge strong working relationships with key contacts across the membership and key stakeholder organisations/groups.
  • Undertake such other duties as may be necessary commensurate with the grade of the post and the skills of the post holder.
  • Demonstrate commitment to continuous professional development and undertake training and professional development as required.

Third-Party management

Support the Managing Directors in managing relationships with any other external contractors or consultants who are retained to perform work for the TheCityUK.

Person Specification

  • A demonstrable commercial outlook and an understanding of working in diverse cultural environments.
  • Experience in managing relationships with senior financial and related professional services industry stakeholders.
  • An understanding of membership and/or trade organisations.
  • Experience of working with government bodies and committees in the UK and overseas.
  • Strong verbal and written communications skills to be able to liaise with senior stakeholders and co-ordinate input from multiple sources.
  • A team player approach to issues, flexibility, enthusiasm, imagination, diplomacy and a ‘can do’ attitude.
  • Strong Microsoft office skills.
  • Higher education such as A Levels and/or relevant experience.
  • Must be eligible to work in the UK.
